Operations Associate

Location: North Austin - 100% in office

Compensation: $70,000 Salary

Benefits: 100% paid health benefits for employee and family

Our client is a small, dynamic wealth management firm with a close-knit team, seeking a detail-oriented and highly organized Operations Associate to join the team. The firm’s office is located in North Austin and has a fun and casual environment, with music, drinks and quarterly team-building events/dinners. In this role, you’ll play a crucial part in ensuring the smooth functioning of their operational processes, contributing directly to the overall efficiency and success of the firm. You will be responsible for anything from ordering office supplies and ordering groceries to creating dynamic reports for their ultra high-profile customers on a daily basis. Responsibilities:

  • Transaction Processing: Execute and monitor daily transactions, including but not limited to trade settlements, fund transfers, and account maintenance, with a high level of accuracy and compliance.
  • Reconciliation: Perform regular reconciliations of accounts, ensuring discrepancies are promptly identified, investigated, and resolved.
  • Documentation and Recordkeeping: Maintain accurate and up-to-date records of transactions, client interactions, and compliance-related documentation. Maintain up to date and accurate CRM details and notes.
  • Compliance Assistance: Collaborate with the compliance team to ensure adherence to regulatory requirements and internal policies. Support Chief Compliance Officer directly with firm compliance tasks.
  • Client Support: Assist in addressing client inquiries and requests related to operations, providing timely and accurate information.
  • Process Improvement: Identify opportunities for process improvements and efficiencies within the operations workflow, working closely with the Operations Director.
  • Reporting: Generate and analyze reports to provide insights into operational performance and support decision-making processes. Assist investment advisors with client facing reporting.
  • Collaboration: Work closely with other members of the team, including advisors, compliance, and client services, to facilitate seamless operations.
  • Office Management: Ownership of office operations, including supplies, mail, and opening and closing of the office.

Qualifications:

  • Bachelor’s degree in finance, business, or a related field.
  • 1-2 years of experience in financial services operations or a similar role preferred
  • Strong understanding or a strong desire to learn the financial markets, investment products, and regulatory requirements.
  • Proficiency in using financial software and tools (Microsoft Office, etc.).
  • Excellent attention to detail and organizational skills.
  • Strong analytical and problem-solving abilities.
  • Effective communication skills, both written and verbal.
  • Ability to work independently and collaboratively in a fast-paced environment.
