Responsibilities:

  • Perform administrative and receptionist duties, including but not limited to, greet guests, candidates, clients; responsible for inventory and ordering of office supplies and maintenance.
  • Book and manage conference rooms and studio spaces across all departments and facilities; help implement a new platform or process for offices to ensure smooth operations and scheduling.
  • Maintenance of equipment and spaces to be organized and easy to use, ensure equipment for office and studio is in working order before and after internal use.
  • Liaise with necessary vendors and confirm any/all invoices have arrived and have been sent to Finance.
  • Proactively book upkeep services (cleaning, pantry, various facilities maintenance) as needed for the studio and office spaces.
  • Assist with interview logistics when available for Talent Acquisition team and other departments.
  • Support the on and off-boarding logistics with IT team.
  • Proactively support different HR functions, provide knowledge for completing different projects collaboratively and assist in any ad hoc tasks when required.
  • Work closely with HQ and other regional offices, department leaders as needed under direct supervision of the Senior HR Manager.

  • Resourceful - The ability to problem solve quickly. Can pivot and adapt to unforeseen circumstances that often arise. The expertise to foresee when outside resources are necessary.
  • Positive - A people-person who knows how to build trust while maintaining a great relationship with everyone. Skilled at managing multiple parties involved with one project.
  • Result orientated - The drive to complete tasks smoothly and efficiently.
  • Trustworthy - Must be reliable as you will be one of the main point of contacts across all departments.

Requirements:

  • 2-3 years of prior studio or office management or coordination experience.
  • Must be physically in the main coworking office for 5 days a week.
  • Proficiency with studio equipment and basic office setup.
  • Understanding of building operations - trash removal, mail/package logistics, electrical and technical needs.
  • Must be proactive, helpful, supportive, and flexible to all staff inquiries as well as develop a tracker or platform to all incoming inquiries and tasks.
  • Must have a customer service mindset.
  • Excellent knowledge of industry related software & systems.
  • Excellent time management and organization skills.

$75,000 - $85,000 a year

The expected annual base salary range for this role is between $75,000 to $85,000. The salary range is subject to change and may be amended in the future. Experience, education, relevant skill set, location and other factors are considered when determining the salary offered.
