OCU Hornbill (Part of the wider OCU Group) have an exciting opportunity for an Administrator to join their team in Neath.
The Engineering Administrator is responsible for providing clerical support to the project managers and the extended team. This involves managing and maintaining all systems involved in the smooth day to day running of a busy site with various clients.
Duties and Responsibilities:
- Planning and communication of logistics in terms of travel requirements and tasks to be completed. This may include diary management, travel arrangement and booking, fleet liaison and communicating across departments.
- Assistance with the administrative tasks of people management including timesheets and holiday management.
- Preparation of quote letters and assisting with invoice applications and bid tendering administration.
- Note taking in client or employee meetings.
- Answering telephones and distributing messages accurately.
- Request quotes for materials and placing orders if PO’s are approved.
- Chase suppliers for outstanding orders.
- Ensure supplier compliance to OCU Hornbill’s regulations.
- Control databases of employees, training, tools, equipment, travel and other necessary data as required.
- Maintain documents to comply with audits as and when required.
- Supporting internal employees or external clients with their queries.
- Filing and general administration to support the department achieve goals and success.
Skills and Experience:
- Ability to handle multiple tasks, prioritise and meet deadlines.
- Excellent verbal and written communication skills.
- Collaborative working and problem-solving style to model effective engagement with stakeholders.
- Ability to challenge the status quo and apply a test and learn approach to drive continuous improvement.
- Commercially aware and financially literate.
- High computer literacy with advanced numerical and analytical skills, to manage multiple data sets and drive insights.
- Outstanding attention to detail and able to recall large volumes of data.
- Able to plan, prioritise and manage a heavy workload and delegate appropriately.
