Faculty Affairs Coordinator, Schaefer School of Engineering and Science (SES)
Under the supervision of the SES Assistant Dean of Faculty Affairs, the Faculty Affairs Coordinator will provide administrative assistance and coordination of SES faculty affairs routine functions, including appointments, reappointments, promotion and tenure, faculty honors and awards, and faculty programs.
Essential Duties and Responsibilities
The duties and responsibilities of this position include, but are not limited to, the following:
- Coordinate and manage the appointment/reappointment process for academic associate positions
- Coordinate the external academic unit review process for SES departments, when scheduled
- Organize meetings and serve as point-of-contact for various groups/programs, including:
- SES Faculty Advisory Council (FAC)
- LAUNCH Program
- SES Womenโs Faculty Luncheons
- Provide support to the Assistant Dean in organizing the annual New Faculty Orientation and bi-annual SES Faculty Meetings
- Assist with monitoring faculty and lecturer contracts to determine when Promotion and Tenure (P&T) and/or reappointment applications are due
- Assist with the new faculty hiring process, including processing Workday job requisitions for faculty hiring plan
- Oversee the coordination, nomination, and submission processes of various faculty honors and awards
- Other duties and responsibilities as assigned by the SES Assistant Dean of Faculty Affairs
Qualifications
- Required Education: Equivalent combination of education and experience
- Preferred Education: Bachelorโs degree
- Required Experience: Minimum of 5 years of professional administrative experience
- Preferred Experience: Experience in higher education and/or faculty affairs

- Demonstrate strong written and verbal communication skills, organizational skills, and time-management skills with the ability to prioritize time-sensitive tasks
- Interact and communicate in a professional manner with colleagues at all levels of the university; provide excellent customer service and maintain a positive attitude at all times
- Demonstrate strong interpersonal skills and the ability to effectively contribute as part of a team
- Maintain the utmost confidentiality and discretion with all faculty-related personnel matters at all times
- Demonstrate proficiency in the use of Microsoft Office Suite tools
- Exhibit good judgment, tact, diplomacy, sound decision-making, attention to detail, and the ability to multi-task and problem-solve
- Possess the ability to accept direction on assignments and work independently with minimum supervision, requesting support or guidance from colleagues when needed
- Demonstrate excellent follow-through skills in managing all projects from inception to completion
- Remain dependable, reliable, and flexible in all areas of your work
