As our Customer Service Manager, you will manage the administrative aspects of keeping our business running and organized. You will perform administrative tasks like documentation, editing, filing, organization, and sales support. This role includes the responsibility to train, supervise and oversee the administrative team to ensure administrative tasks are completed and our service levels are maintained.
Responsibilities of this position may include, but are not limited to:
- Leads the Administration team in the office
- Oversees Checklists - New client onboarding with Accounting and Administration and follow up
- Works with senior branch leadership to ensure strong training and development
- Manages and oversees all templates, letters, and condo documents
- Manages and coordinates administrative support services, facilities, security, mail distribution, record management, and other office support services
- Reviews current processes and recommends procedural or policy changes to improve operations
- Oversees all office policies and procedures in coordination with the branch’s senior leadership
- Manages office maintenance and custodial operations internal or external service contracts
- This role troubleshoots any IT issue within the branch
- Participation in the Joint Occupational Health and Safety Committee
- Other duties as assigned
Requirements
- Understanding of Condominium Management industry would be a strong asset
- Knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level
- Knowledge of typical business correspondence (grammar, structure, punctuation, spelling, etc.) at an expert level
- Comfortable learning new computer software quickly and able to perform basic troubleshooting
- Ability to create and maintain company policies, procedures and forms at an expert level
- Fast and accurate keyboard skills will be an asset
- Knowledge of conflict resolution techniques at an expert level
- Professional communication skills (phone, interpersonal, written, verbal, etc.)
- Project management at a proficient level
- Self-motivated, proactive, detail oriented and a team player
- Time management and time critical prioritization skills
Education and Experience:
- 5+ years of directly related or closely related experience
- 3 – 5 years of real estate experience preferred
- 3 – 5 years of Management and/or Supervisory experience
