Job title: People Administrator

Contract: Full time – 12-month fixed term contract

Location: 330 Cambridge Science Park, Milton Road, Cambridge

Responsible to: Chief People Officer, Endomag

Key working relationships: People Administrator, Internal Engagement and Communications Specialist, Office Management team, Finance, QA, Hiring Managers, Talent Acquisition Partners

The purpose of the role:

This is an exciting opportunity for a People Administrator to join our organisation to provide comprehensive administrative support across the entire employment lifecycle. This role will also support the People Team on projects and initiatives.

Key Responsibilities and duties:

Recruitment:

· Process new hire requests for approval

· Work with our talent acquisition partners on hiring activities including providing support on our applicant tracking system

· Scheduling interviews and ensuring feedback is provided to candidates in a timely fashion

· Produce offer letters, undertake right to work checks and send out and track reference requests

· Contribute to a positive candidate experience

Pre-boarding, Onboarding and Induction:

· Manage the process for new employees. This will include entering the new employee onto the HRIS, tracking the onboarding workflows, preparing contracts and processing all pre-employment checks to a high level of accuracy

· Organise and conduct HR induction sessions with new employees

· Liaise with IT services to ensure that equipment is delivered and set up for new joiners

· Liaise with all teams who participate in the induction process, ensuring a smooth introduction to the organisation for all new joiners

· Undertake DBS checks for relevant roles.

Systems and Reporting:

· Be the primary contact for employee queries on all HR systems, preparing reports as required

· Become a superuser for our HR systems, configuring the system as required, ensuring accuracy of the data and compliance with GDPR

· Ensure HR systems accurately reflect current employee conditions and details. This includes inputting starters and leavers, contractual amendments, change of details, recording annual leave other absence

· Work with HR system account managers to improve functionality of the system

· Track and check all compliance documentation as appropriate

Payroll and Benefits:

· Ensure that any payroll changes such as contractual changes, new joiners, leavers, are captured and submitted to the Finance team

· Act as a main point of contact in liaising with our benefits provider to ensure all information is accurate and always updated

· Oversee the ongoing administration of all employee benefits, escalating issues to the Chief People Office and/or Office Manager where required

Advice and Guidance:

· Provide guidance on policies where appropriate

· Act as a central point of contact in the HR team for queries from employees

Offboarding:

· Ensure leavers are offboarded in timely manner by effectively managing the entire leaver process

· Work with our Office Manager to ensure all equipment is returned

Requirements

Qualifications

· Educated to at least GCSE standard or equivalent (minimum Grade 4/C (or equivalent) for English and Maths).

Experience and Knowledge

· A minimum of 12 months demonstrable experience in an administrative role.

· Experience of working in an HR and/or recruitment role would be beneficial

· Experience of working with an applicant tracking system and/or an HR Information System would be a bonus
