The Opportunity:

We’re looking for an Executive Assistant to join our Finance team.

Reporting to the SVP, Chief Financial and Chief Risk Officer, the Executive Assistant is responsible for all facets of executive administration, including email and calendar management, internal and external meeting and event coordination, travel planning, invoice and expense management, and document review and management.

What your day looks like:

  • Provide a full range of administrative assistance to the SVP, Chief Financial and Chief Risk Officer, including managing an active calendar; providing initial responses to issues or redirecting to others, liaising with offices of senior executives internally and externally; scanning, filing, and reviewing correspondence
  • Develop and maintain strong relationships with other executive assistants to ensure effective communication and optimum support to the executives
  • Manage invoice and expense submissions
  • Coordinate strategic planning using tools like Smartsheet to ensure a centralized hub for saving documents
  • Organize monthly divisional meetings
  • Coordinate cost-effective and sometimes complex domestic and international travel and accommodation arrangements and itineraries
  • Track hours for projects and monthly reporting to submit to finance
  • Bring an improvement mindset to workflow activities and offer suggestions for improvement to team members and senior leaders

Requirements

Your experience and skills:

  • Post-secondary education in administration or business, or related work experience is preferred
  • Minimum 5 years of executive administration experience supporting C-Suites is required
  • Experience in wealth management or financial services is an asset
  • Experience arranging complex travel and coordinating events is required
  • Solid working knowledge of Adobe Acrobat and the Microsoft Office Suite, including Outlook, Excel, Word, PowerPoint is required, experience with Concur and Smartsheet is an asset
  • Proven track record of commitment to service excellence with the ability to build and maintain strong working relationships is required
  • Proactive, with the ability to anticipate needs and call out potential issues is required
  • Ability to exercise discretion and handle highly sensitive and confidential information is required
  • Strong prioritization skills and ability to work calmly and effectively in a fast-paced environment is required
  • All-hands-on-deck attitude and flexibility to meet changing needs is required
  • Ability to work well independently and as a member of a team is required
  • Fluent communication skills in English are required and bilingual skills in French are an asset

Salary

This position is posted with an expected salary range of $77,000 - $95,000 CAD annually. Individual compensation packages are based on various factors unique to each candidate and the requirements of the position.
