- Executive Support:
- Manage executive calendars, schedule meetings, and coordinate appointments.
- Arrange travel logistics, including flights, accommodations, and transportation.
- Anticipate the needs of executive leadership and proactively address them.
- Administrative Management:
- Oversee office operations and ensure efficient functioning of administrative processes.
- Maintain filing systems, databases, and records management protocols.
- Strategic Planning:
- Assist in the development and implementation of strategic plans and initiatives.
- Prepare presentations, reports, and briefing materials for strategic planning sessions.
- Project Management:
- Assist in identifying and mitigating risks and barriers to project success.
- Prepare project documentation, including meeting minutes, action items, and status reports.
- Facilitate communication and collaboration among project team members.
- Stakeholder Engagement:
- Liaise with internal and external stakeholders on behalf of executive leadership.
- Coordinate meetings, briefings, and communications with stakeholders.
- Maintain positive relationships with key stakeholders and represent the organization professionally.
- Gather feedback and input from stakeholders to inform strategic decision-making.
Requirements:
- Educational Background: Bachelor's degree in business administration, Management, Public Administration, or a related field. Advanced degree preferred but not required.
- Experience: Minimum of 3-5 years of experience in executive assistance, administrative support, or related roles. Experience in strategic planning or project management is advantageous.
- Organizational Skills: Strong organizational skills with the ability to manage multiple priorities and deadlines effectively.
- Communication Skills: Excellent written and verbal communication skills, with attention to detail and accuracy.
- Analytical Skills: Proficiency in conducting research, analyzing data, and synthesizing information to support decision-making.
- Technology Skills: Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications. Experience with project management tools and databases is a plus.
- Adaptability: Ability to adapt to changing priorities and work in a fast-paced environment with flexibility and resilience.
- Professionalism: Demonstrated professionalism, integrity, and discretion in handling confidential and sensitive information.
