  1. Executive Support:
    • Manage executive calendars, schedule meetings, and coordinate appointments.
    • Arrange travel logistics, including flights, accommodations, and transportation.
    • Anticipate the needs of executive leadership and proactively address them.
  2. Administrative Management:
    • Oversee office operations and ensure efficient functioning of administrative processes.
    • Maintain filing systems, databases, and records management protocols.
  3. Strategic Planning:
    • Assist in the development and implementation of strategic plans and initiatives.
    • Prepare presentations, reports, and briefing materials for strategic planning sessions.
  4. Project Management:
    • Assist in identifying and mitigating risks and barriers to project success.
    • Prepare project documentation, including meeting minutes, action items, and status reports.
    • Facilitate communication and collaboration among project team members.
  5. Stakeholder Engagement:
    • Liaise with internal and external stakeholders on behalf of executive leadership.
    • Coordinate meetings, briefings, and communications with stakeholders.
    • Maintain positive relationships with key stakeholders and represent the organization professionally.
    • Gather feedback and input from stakeholders to inform strategic decision-making.

Requirements:

  1. Educational Background: Bachelor's degree in business administration, Management, Public Administration, or a related field. Advanced degree preferred but not required.
  2. Experience: Minimum of 3-5 years of experience in executive assistance, administrative support, or related roles. Experience in strategic planning or project management is advantageous.
  3. Organizational Skills: Strong organizational skills with the ability to manage multiple priorities and deadlines effectively.
  4. Communication Skills: Excellent written and verbal communication skills, with attention to detail and accuracy.
  5. Analytical Skills: Proficiency in conducting research, analyzing data, and synthesizing information to support decision-making.
  6. Technology Skills: Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications. Experience with project management tools and databases is a plus.
  7. Adaptability: Ability to adapt to changing priorities and work in a fast-paced environment with flexibility and resilience.
  8. Professionalism: Demonstrated professionalism, integrity, and discretion in handling confidential and sensitive information.
  9. Teamwork: Strong interpersonal skills with the ability to collaborate effectively with colleagues at all levels of the organization.
  10. Problem-Solving: Proactive problem-solving skills with the ability to anticipate challenges and identify creative solutions.
