The Role:

Responsible for providing administrative support and assistance to the education teams to administer the booking, tracking and coordination of educators, freelancers, programs and ordering of materials for field education (including independent contractors), budgets and coordination of programs and events associated with Education. The education coordinator will also be planning and coordinating education post on the educational social media accounts. Back up for Customer Service - vacation & illness.

This is a full-time, fixed term position (until 20 June 2025) in Stockholm (hybrid working model).

What you will do:

  • Schedule and coordinate Education and Development meetings, trainings and special events for education including support of Region Delivery Groups for trainings in Country for Kao Salon Brands including all field communication, travel, hotel, ordering, transportation, and budgets.
  • Schedule, book, track and communicate field education, to include In-salon Classes and Collective Classes.
  • Provide administrative support and assistance for the Education Management teams as well as act as liaison for field staff.
  • Assist Academy team in certain countries to host and help with customer experiences as directed
  • Utilizing existing administrative systems /Kao SAT systems where available to book and track events, registrations and create report for AD Education and Regional ES&P Analyst
  • Balance, reclass, and review Field education budgets as directed
  • When requested, book travel for artists/educators per AD, Education
  • Plan and coordinate education post on the educational social media accounts
  • Material translation from English to Swedish
  • Inventory literature/materials, maintain appropriate quantities, and track all vouchers/redemptions as directed.
  • Other duties as assigned such as back up for customer service during vacation & illness.

What you will need:

  • High School diploma or equivalent. College degree preferred.
  • 2+ years’ administrative experience in a professional office environment in a similar or sales support role
  • Completion of a secretarial program and/or courses is preferred.
  • Cosmetology or Salon experience a plus
  • Strong command of databases and MS Office software, i.e. Word, Excel, PowerPoint and Access, with the ability to create and properly format word documents, spreadsheets, charts, graphs, presentations and generate/print reports.
  • Previous experience working with SAP and/or sales database preferred.
  • Requires strong attention to detail and the ability to prioritize multiple tasks to complete all assignments in an organized, efficient, accurate manner within established deadlines.
  • Requires clear verbal and written communication, excellent phone manner and above average writing, math, analytical, grammar, spelling and proof reading skills.
  • Must be able to work positively, effectively and professionally with employees, vendors, client and customers at all levels as well as independently and as a team.
  • Fluent in English and Swedish
