We are looking for a highly organized and detail-oriented individual to support our Latin American office in Sao Paulo, Brazil. In this role, you will provide administrative support to the office and front-line support for customer/distributor partner inquiries and serve as the in-house resource for the sales operation.

What You’ll Work On

• Provide day-to-day support to the sales team and customers/distributor partners, which includes management of purchase orders (POs)

• Provide administrative support for the office including handling all administrative functions with minimal supervision including answering phones, sorting and routing mail, distributing correspondence, faxing, copying, filing, scheduling conference calls, meeting rooms and equipment.

• Provide Accounts Receivable (AR) support to the Sr. Finance Manager.

• Assist with bank reconciliations.

• Arranges and coordinates meetings. Schedules and coordinates visits of external professionals, distributor partners and other visitors.

• Researches, compiles, prepares and performs data entry for various projects.

• Orders and maintains supplies and equipment for organization.

• File customer complaints

• Respond to customer and distributor partners inquiries by taking and processing domestic and international customers' e-mail or fax orders

• Interface with the sales department to provide accurate reports of daily sales

• Maintain excellent customer relations

• Maintain customer databases

What You Contribute

• A Bachelor's degree in business, marketing or a related field or related field with 2+ years of customer service experience, preferably in a medical device, pharmaceutical or comparable regulated environment experience, or equivalent combination of education and experience

• Strong oral, written and interpersonal communication skills

• Fluency in written and spoken English. Spanish would be preferred.

• High degree of accuracy and attention to detail

• Proficiency with MS Word, Excel, and PowerPoint

• Ability to proactively solve problems and drive projects through to completion

• Comfortable working both independently and collaboratively in a highly cross-functional environment, as well as across countries, cultures and time zones

• Comfortable managing multiple priorities and adjusting as needed

• Multi-task, problem solving and flexibility are required.

• Excellent organizational skills with ability to prioritize assignments while handling various projects simultaneously

General office environment. The employee is frequently required to stand, walk, sit, and reach with hands and arms, and to use a computer, sitting for extended periods. Specific vision abilities required by this job include ability to read, close vision, distance vision, color vision, peripheral vision, and depth perception.
