About the HR Department

The Human Resources (HR) Department plays a pivotal and strategic role in supporting the organization’s goal by fostering a positive and inclusive work environment. The HR Department is responsible for managing the employee lifecycle, from recruitment to separation and ensuring employee retention.

About the Role

The Human Resources Coordinator will play a vital role in supporting the Human Resources Department at Ashesi University. This position involves coordinating employee recruitment and selection processes, assisting with employee training and performance evaluations, and performing various administrative duties aligned with Ashesi University’s HR strategy.

Reports to: Director of HR

Key Responsibilities:

HR Department Administrative Duties:

  • Manage records, filing, information gathering, budget control, and office workflow.
  • Handle highly sensitive and confidential information with discretion.
  • Draft standard employee contracts for review and approval.
  • Coordinate correspondence between the HR department and internal/external stakeholders.
  • Track and coordinate schedules for department projects on behalf of the HR team.
  • Organize departmental meetings, including communications, logistics, and documentation.
  • Assist with the development and implementation of HR policies and procedures.
  • Prepare HR reports and presentations for senior management.
  • Perform any other assigned duties.

HR Information System and Data Management Duties:

  • Coordinate the onboarding of new employees onto the HRIS.
  • Ensure HRIS system data is up-to-date and accurate.
  • Export and analyze reports from the HRIS system.
  • Maintain employee records and ensure compliance with data protection regulations.

Recruitment:

  • Assist the HR team in coordinating job advertisements on the Ashesi website, newspapers, and other platforms.
  • Support the recruitment and staffing of full-time and part-time employees, including responding to applications, distributing shortlisted applications, and scheduling/coordinating interviews.
  • Aid in the orientation and onboarding activities for new employees.
  • Manage applicant tracking systems and ensure a smooth candidate experience.

Performance Management & Employee Engagement:

  • Assist in the administration and collation of annual performance reviews for all employees.
  • Support the organization of training sessions for employees.
  • Organize team-building activities, such as birthday acknowledgments, special events, and monthly/quarterly employee engagement events.
  • Assist in organizing faculty and staff retreats.
  • Support employee recognition programs.

Compliance and Legal Duties:

  • Ensure compliance with labor laws and university policies.
  • Assist in conducting investigations and resolving employee relations issues.
  • Maintain up-to-date knowledge of HR best practices and legal requirements.

Other Responsibilities:

  • Support the implementation of the HR strategy for Ashesi University.
  • Assist in diversity, equity, and inclusion initiatives.
  • Contribute to employee wellness programs.
  • Perform other duties appropriate to the role as assigned.

Qualifications and Skills:

  • A Bachelor’s Degree in a relevant field.
  • At least 1 year of experience in a similar role or relevant position.
  • Excellent organizational and problem-solving skills.
  • Strong verbal, written, and interpersonal communication skills.
  • A good customer service disposition.
  • Ability to work independently and as a strong team member.
  • Ability to work under pressure and meet deadlines.
  • Proficiency in using Microsoft Office Suite (Word, SharePoint, Excel, PowerPoint, Outlook).
  • Comfortable learning and instructing others in new technology tools for information gathering and sharing.
  • Knowledge of HRIS systems and HR best practices.
  • Familiarity with labor laws and regulations.

Working Conditions:

  • This position may require occasional work outside of regular business hours to meet project deadlines or support HR events.
