Are you ready to take charge of crafting winning proposals that stand out in the competitive landscape? SIG is on the lookout for a dynamic Proposal Specialist to join our RFP response team.

As a Proposal Specialist, you'll be the driving force behind our end-to-end proposal process. From gathering content with cross-functional teams and SMEs to ensuring compliance with RFPs, RFIs, RFQs, ITTs, and other bid requirements, you'll play a pivotal role in preparing and submitting compelling proposals. You'll manage our content library in Loopio, follow up on submissions, and coordinate internal teams to ensure seamless proposal development and presentation.

Job Focus: Preparation and Submission of Proposals

  • Monitor and manage various RFP/Bid portals.
  • Find, share, and qualify RFP opportunities that match SIG’s service offerings.
  • Input and manage RFP opportunities in Salesforce CRM.
  • Schedule kick-off meetings via Teams/Zoom with the proposal project team and leadership to determine and coordinate the response schedule, content responsibilities, and response requirement matrix.
  • Develop winning proposals that clearly articulate the company’s overall solution, strategy, and approach to meet the requirements of the RFP.
  • Deliver high-quality responses uniquely designed to meet each RFP’s requested requirements.
  • Develop, write, edit, and format clear, persuasive, and articulate content of SIG services for proposal responses.
  • Translate technical concepts and other ideas into an understandable narrative.
  • Apply interpersonal and interviewing skills to gather information from cross-functional teams and SMEs to support proposal response content and development.
  • Pay meticulous attention to detail regarding RFP requirements and guidelines to ensure compliance in proposal responses.
  • Orchestrate proposal project team scheduling via Teams/Zoom with internal and cross-functional teams, leadership, and SMEs.
  • Complete required RFP forms and obtain stakeholder signatures, as needed, using Adobe Acrobat, Salesforce, and Conga Sign.
  • Manage an active proposal content library (Loopio), including any deliverables and graphics used in RFP responses.
  • Organize and track proposal responses using SharePoint, Loopio, and Salesforce CRM.
  • Track submitted responses for updates on status and award.
  • Provide regular RFP response statuses and progress to project and cross-functional teams.
  • Assist proposal project teams in developing, editing, and formatting PowerPoint presentations.
  • Schedule proposal presentation strategy meetings with the proposal project team.
  • Schedule and coordinate external client proposal presentation calls as needed.
  • Additional responsibilities as required.

Required Qualifications:

  • Ability to work both independently and collaboratively with cross-functional teams.
  • Ability to work in a fast-paced environment and meet tight deadlines.
  • Must be extremely detail-oriented and organized.
  • Must have excellent interpersonal and communication skills, both verbal and written.
  • Excellent time management skills.
  • Must be proficient in using proposal and presentation technologies, including Microsoft Word, PowerPoint, Excel, Adobe Creative Suite (Photoshop, InDesign & Illustrator), Loopio (preferred), or similar tools.
  • Ability to write with concise detail yet maintain brevity.
  • Ability to translate technical jargon into an easily understandable narrative.
  • Ability to build strong relationships both internally and with clients.

Preferred:

  • Experience in higher education or an industry serving colleges and universities.
  • Experience in Information Technology (IT) service provisions.
  • Experience with higher education ERP systems.
  • Experience with ERP procurement processes.
  • A bachelor’s degree in a related field is preferred.
  • APMP/Shipley certification preferred.

Pay and Benefits:

  • The salary range is $70,000 - $80,000
