Administrative Assistant - Radiology

Position Summary: This position performs administrative duties, requests imaging and reports from outside facilities, handles incoming and outgoing discs, and handles report requests. Work is performed under the general direction of the Director.

Essential Duties and Responsibilities

  • Contact new patients and add-on patients to request and confirm they bring in last three years of prior imaging with first appointment
  • Request prior imaging from outside facilities as needed
  • Burn discs, print reports, organize and send mail outs to outside facilities requesting mutual patient’s prior imaging
  • Burn and provide discs per patient’s requests for priors to take elsewhere
  • Load discs daily as received from new patients.
  • Scan and match to Onco any reports or medical record documents received by fax, pods, clinic, or documents patient submits along with disc.
  • Work email requests from physician pods and other departments
  • Interface professionally with Radiology patients and staff (director, nurses, technologists, schedulers, and other co-workers).
  • Respect the dignity and confidentiality of patient’s information.
  • Maintain good attendance record and report on time for work.
  • Maintain professional attitude and appearance.
  • Comply with clinic safety policy and procedures.
  • Displays good communication skills that lend to a patient centric, team-oriented work environment
  • Attend department and company meetings as scheduled.
  • Assist with department training or orientation as needed.
  • Performs other duties administrative assistant duties as assigned.

Qualifications/Experience:

One year of college or technical school**; or** six months to one year related experience and/or training; or equivalent combination of education and experience.

Must have excellent organization and follow-up skills; excellent verbal and written communication skills; excellent problem-solving skills; ability to organize and prioritize work assignments; ability to handle multiple priorities in a fast-paced environment; ability to analyze situations and respond in a timely manner; ability to participate in multi-functional teams; ability to establish and maintain effective working relationships within West Cancer Center. Must be computer savvy, including email, word processing, and have ability to navigate and work in EMR.

Work Environment/Physical Demands/Travel:

  • Typical clinical environment with quiet noise level.
  • Ability to walk, sit and use hand/wrist for extended periods of time.
  • Ability to read and understand documents such as safety rules, operating and maintenance instructions, procedures manuals, correspondence. Ability to write routine reports and correspondence. Ability to speak and present information in small groups of customers, suppliers or employees of the company.
  • Ability to add and subtract two digit numbers and to multiply and divide with 10’s and 100’s. Ability to perform these operations using units of US dollars, weight measurements, volume, and distance.
  • Ability to apply common sense understanding to carry out detailed written or oral instructions. Ability to deal with problems involving a few concrete variables in routine situations.
