Job Summary:

The Administrative Assistant will provide administrative support for the Vice President of Student Life and Formation. This area of responsibility is engaged with all aspects of the co-curricular programming for the traditional undergraduate student body of PLNU. As Office Manager this person provides oversight of the culture of hospitality provided by the administrative staff at the third floor Nicholson office area. In addition, they will help equip, engage and encourage administrative staff in both individual resources and corporate events. The Administrative Assistant will also provide leadership in developing deadlines, formats and end of the year Student Life and Formation assessment report.

Job Description:

Objectives for this role

  • Serve as administrative assistant to Vice President for Student Life and Formation and provide logistical support for VP hosted events and activities
  • Ensure a culture of hospitality for the main offices of Student Life and Formation
  • Support the onboarding and ongoing work life of administrative and coordinator staff of Student Life and Formation
  • Maintaining systems and analysis of assessment data

Responsibilities

  • Assist VP with appointments, travel arrangements, schedule meetings and appointments, credit card processing

  • Manage cost center budgets and restricted project accounts

  • Coordinate and/or provide support for various departmental and university projects, conferences, events and activities

  • Provide leadership in collecting assessment data, data analysis and end of the year reports. This would include but not be limited to creating process of assessment, working with leadership team in review of assessment plan, creating the end of the year SL&F assessment report

  • Provide support for Board of Trustee meetings and events

  • Provide a welcoming office atmosphere and promote positive workplace culture

  • Support assistants and coordinators in their duties, including providing opportunities for professional development and supporting employees struggling in their roles

  • Provide general support to entire departmental staff, students and other constituents

  • Implement policies and procedures

  • Hire, train, delegate assignments and provide oversight for department assistants

Qualifications

  • Four years of office experience required, including knowledge of business practices, computer applications and basic accounting principles

  • Ability to communicate and exercise important human relation skills in establishing and maintaining effective working relationships with the Point Loma community and the general public

  • Accuracy and attention to detail, strong organization skills and the ability to maintain confidentiality

  • Strong writing and editing skills are required, including an ability to compose correspondence using correct English, spelling, grammar, punctuation, syntax, format and accurate proofreading

  • Ability to organize and empower support staff and students in respective responsibilities

  • Some proficiency in graphic design

  • Evidence of Christian commitment and active church involvement. In addition, staff agree to live in agreement with PLNU’s Community Life Covenant

Physical Requirements
Sitting for periods greater than one hour. Use of computer equipment: computer keyboard, mouse, and monitor. Vision to read documents, e-mail and other correspondence, and reports on paper and computer monitor. Hearing and speaking to communicate effectively with others in person and by phone. Will also stand, stoop, push, pull, and lift up to 10 pounds throughout the day.
