THIS ROLE:

Curtin Maritime is seeking an enthusiastic and flexible Administrative Assistant to join our team. In this dynamic role, you'll report to the Chief of Staff to the President and CEO, while also supporting other senior leaders within the organization. This position requires a proactive individual who can adapt to changing priorities, manage multiple tasks efficiently, and work independently with minimal supervision.

WHAT YOU’LL DO:

  • Schedule meetings and appointments, manage calendars, and send reminders.
  • Assist with travel arrangements for management.
  • Maintain office supply inventory and order replacements as needed.
  • Prepare facilities for scheduled events and arrange refreshments if required.
  • Type, format, and edit reports and documents.
  • Copy and scan time-sensitive materials.
  • Run local errands, including picking up supplies/meals for events, mail, and delivering paperwork.

WHO YOU ARE:

Experience / Qualifications

  • One to two (1-2) years of experience in a clerical, program/social service, or customer service environment.
  • Intermediate to advanced knowledge of Mac and/or PC platforms, Microsoft Word, PowerPoint, and Excel.
  • Minimum: High School; Preferred: BS/BA

Mental Aptitude

  • Excellent oral and written communication skills.
  • Strong computer skills and proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work both independently and as an effective team player.
  • Proactive mindset and initiative-taking ability.
  • Strong multitasking and prioritization skills for a wide range of support responsibilities.

Physical Aptitudes

  • While performing the duties of this job, the employee is regularly required to talk or hear.
  • Ability to use stairs on a regular basis.
  • Ability to acquire and maintain a TWIC and valid Driver’s License if required to drive for work.
