Reporting to the Director Talent, Total Rewards and Organizational Development this role is responsible for collaboration across the People Services portfolio to enhance the current functioning and alignment of our Human Resources data, processes and systems in preparation for a future Human Resources Information System (HRIS). The lead will work with all areas of People Services to review the current use of technology and systems, assess processes and user needs to inform required improvements to enhance organizational readiness for a new HRIS. The individual's ability to work effectively and in collaboration/consultation with internal and external stakeholders will make them an ideal candidate for this role.

A major focus of the role will be to support the HR Systems and Reporting, Talent and Total Rewards teams in reviewing and supporting streamlined efficient and effective processes and data workflows through a single source of truth while continuing to ensure strong data management and integrity in advance of a new HRIS implementation. This position will support the Director and Managers in the subject matter areas on organizational HR projects and initiatives involving human resource processes, systems and/or employee data.

The lead is responsible for assessing integrated HR/compensation/staffing/finance/payroll functional processes, data workflows, system practices/functionality and associated reference materials to make recommendations on changes to better align HR best practices, enhance integration/collaboration and prepare for and inform the upcoming HRIS project.

Accountabilities:

  • Responsible for the identification, analysis and understanding of our current HR data and reporting in collaboration with our Lead, HR Systems and Reporting, and identify opportunities for enhancements, redundancies, risks and potential waste within processes
  • Liaise with identified leads to identify and document current process and workflows in the system, ensuring the department and users’ needs are aligned and provide guidance on efficient and practical business process redesign and system improvements
  • Collaborate with functional leads and departmental leaders (HR, Payroll, etc.) to create tools, resources and documentation of HR processes and create recommendations on controls and continuous improvement opportunities
  • Provide system risk management and assessment by consulting with various stakeholders and partners prior to data or process upgrades and changes, as well as identifying resolution options
  • Engage and build relationships with internal and external stakeholders/partners/vendors to ensure solutions align with business objectives
  • Understand partner (HOOPP, Sunlife, WSIB, etc.) requirements for data and documentation for integrations; review opportunities for further streamlining
  • Provide business case analysis to support new processes, data collection or system changes in collaboration with the area leads
  • In partnership with our Systems Lead, collaborate on the execution of system enhancements to ensure functionality is maximized
  • Provide project management support for HR projects and process improvements to further the advancement of the HR function at Osler and to support the evolving needs of the organization in preparation of the new HRIS
  • Manage multiple ongoing projects within HR and monitors project progress as well as scheduling of project tasks to ensure completion
  • Represent HR in corporate initiatives

Requirements

  • Bachelor degree with a focus in business administration or HR
  • CHRL or CHRP designation preferred
  • Project Management Professional, LEAN Six Sigma, Change Management certifications preferred
  • Five to seven years of experience of functional HRIS system experience, data analytics, HR systems configuration, and implementation
  • Experience working with Meditech and/or Virtuo Hr would be considered an asset
  • Requires breadth and depth of knowledge and experience in all aspects of HR best practice
  • Broad understanding of HR business fundamentals: employment legislations, recruitment, compensation, labour relations, (including collective agreement administration), payroll, pension and benefits
  • Advanced knowledge of systems required including experience in system implementations
  • Process expertise to re-engineer HR processes for efficiency and effectiveness
  • Strong technical and analytic skills to develop data extraction queries, report preparation, data investigation and manipulate large volumes of data
  • Ability to interpret information needs to support organizational needs
  • Experience in analyzing and reporting on HR and payroll data
  • Understand legislative and contractual requirement/agreements to ensure compliance
  • Experience with variety of HR systems including applicant tracking payroll/timekeeping, and business intelligence tools
  • Project management experience an asset
  • Change management knowledge and experience
