Position Summary:

Reporting to the Executive Director, Administration and Operations, and working closely with the Vice-Dean, Academic Affairs, Faculty of Medicine and Health Sciences, the Director provides expertise, support and guidance to ensure the recruitment, support, development, and recognition of academic staff performing at the highest standards of excellence, across all spheres of academic work and all phases of their careers.

Context:

The Faculty of Medicine and Health Sciences (FMHS) is a large and complex entity, comprised of 6 Schools, and further divided into multiple departments, institutes, and research centres (FMHS At a Glance). Academic activities take place on McGill’s downtown campus, as well as at the Campus Outaouais, and within our affiliated clinical sites and research institutes across Montreal as well as in northern and western Québec RUISSS McGill .The Schools are:

  • School of Medicine (17 clinical departments, undergraduate and postgraduate medical education programs)
  • Ingram School of Nursing
  • School of Physical and Occupational Therapy
  • School of Communication Sciences & Disorders
  • School of Population and Global Health (3 departments)
  • School of Biomedical Sciences (7 departments, 2 institutes)

Our academic staff number is approximately 4,200. They have a variety of career profiles, including physicians, scientists, and allied healthcare professionals; they teach undergraduate, graduate and health professional students, conduct research, and serve society in a variety of ways. Many are also active clinicians, providing healthcare in our teaching hospitals and at other clinical sites. Primary Responsibilities:

- Provide strategic guidance to the Vice-Dean Academic Affairs, as well as FMHS academic leadership more generally, including Department Chairs, School and Institute Directors, on academic policies, processes, and strategy relating to the academic lifecycle, from recruitment to retirement.

- Work with the Vice Dean to advance the priorities of the Academic Affairs Office in alignment with the current FMHS strategic plan and priorities. Key current priorities include:

  • Direct the Sustainability of the Professoriate by overseeing the partnerships and processes that enable the clinician-scientist career pathway, coordinating recruitment and career development of Contract Academic Staff - CAS (Research) faculty, and ensuring the quality of the search and selection process for all new faculty members.
  • Provide Strategic Guidance for the Performance Evaluation of Academic Staff by enhancing tools and processes to provide performance feedback and career development support to all faculty members. Work with Chairs and Directors to ensure a clear and consistent understanding of expectations and effective use of the evaluation process.
  • Oversee the academic engagement of clinical faculty working outside core teaching hospitals by strengthening links and assuring career support for clinical faculty members working in clinical settings outside our traditional teaching hospitals, through improved orientation, mentorship, and feedback, in coordination with Department Chairs.
  • Support Excellence by guiding our schools, departments, units, and programs to ensure robust, competitive search processes and clearly define the expectations for performance in Letters of Offer (LOO). Work with the Associate Dean, Faculty Development, to provide ongoing support for onboarding and mentoring initiatives (e.g., Telemachus Scholars Program, New Faculty Orientation).

- Nurture and maintain strong collaborative relationships with partner offices across the University such as the Provost’s Office, the Academic Personnel Office, and the Secretariat, ensuring coherent and consistent application of university policies.

- Ensure excellent communication and coordination of academic affairs activities in the AAO and within the FMHS administrative leadership team, working closely with administration leaders of the Schools as well as with Directors of Faculty-wide portfolios including Finance, Human Resources, Building and Infrastructure Management, and IT.

- Provide strategic guidance administrative oversight to the Vice Dean in the recruitment of Academic Leadership for the Faculty.

- Ensure Equity, Diversity and Inclusion (EDI) best practices in Academic Affairs recruitment of faculty, leadership search and selection processes, faculty career support and development, and faculty compensation practices.

- Work in partnership with the Administration Excellence Centre (AEC) Associate Directors to ensure the quality and efficiency of academic affairs activities in the Administration Excellence Centres (AEC’s).

- Ensure efficient and effective implementation of Academic Affairs processes at Campus Outaouais.

- As a key member of the FMHS administration leadership, participate on Deanery committees (Faculty Leadership Commons-FLC), and Executive Director committees (CORE Leadership Operations Committee, Admin Leadership Ops+ Committee, Space Management Committee)

- Oversee a team of 14 Academic Affairs Professionals in the FMHS Academic Affairs Office. Ensure functional supervision of 23 Academic Affairs Administrators/Officers based in the Administrative Excellence Centres (AEC’s).

Other qualifying skills and/or abilities

- Undergraduate degree in Human Resources or Industrial Relations, or related/relevant professional degree.

- Must have at minimum seven (7) years of experience as a Human Resource practitioner with some specific experience in academic human resource management; at least 5 years in a middle to senior management role.

- Experience in a higher education, medical/research setting is preferred.

- Versatility, ability to act and make decisions at both strategic and operational level.

- Experience working in co-management or similar organizational structures where a balance of direct action, advising and consensus-building is needed to achieve goals, as the context requires.

- Excellent knowledge of Academic-HR best practices.

- Demonstrated ability to gain trust and respect from clients and staff.

- Must possess excellent interpersonal skills.

- Superior communication skills with the ability to communicate effectively at all levels.

- As an effective team leader and player, collaborates to build positive and productive working relationships.

- Strong organizational and time management skills, able to prioritize.

- Strong analytical skills and the ability to develop creative solutions to highly complex problems.

- Ability to maintain composure under pressure and to manage competing demands.

- English and French, spoken and written.

- Demonstrated ability to work well with technology, software applications and HR systems.

Knowledge of French and English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level 4 on a scale of 0-4.
