Reporting to the Manager, Talent Solutions & Services, the Analyst, Talent Solutions and Services (Hire & Onboarding), is responsible for ensuring accurate, timely, and efficient delivery of key hire and onboarding programs and processes. The role will be accountable to assist with the launch of our newly defined shared services model and will respond to HR Service Requests using ServiceNow case management solution and utilize internal resources to complete transactions and processes while adhering to internal procedures and local regulatory requirements. The role supports the Talent Operations team by delivering individual goals, plans, and HR initiatives that align with the team's business and strategic objectives.

Key responsibilities:

  • Processes new hire and internal job data changes in HR systems and ensures alignment of information for payroll as well as critical HR reporting
  • Accountable to process and oversee the completion of background screening checks required to ensure compliance to internal and regulatory requirements
  • Provides effective and high-quality responses to inquiries related to background screening and onboarding to ensure employee experience excellence
  • Collaborates with and acts as a liaison between employees, HRBPs, COEs and other global internal/external partners to complete cross-functional processes
  • Monitors work eligibility in alignment with regulatory requirements
  • Ensures data accuracy and integrity of employee records across Smart Recruiters, Workday, and Payroll and monitors via reporting
  • Creates and maintains procedural documentation including training materials, checklists, etc.
  • Participates in special projects/ systems implementations related hire & onboarding by defining requirements, preparing test scripts, and documenting results
  • Seeks opportunities to improve and optimize processes, experience, and online content related to onboarding programs
  • Supports Talent Operations team to streamline and centralize transactional processes to facilitate operational effectiveness and digitized automation

Requirements

  • Experience supporting recruitment activities and onboarding in a global organization with complex HR programs and policies
  • 2+ years of HR experience in a similar role within HR or other relevant groups
  • A solid understanding of CPPIB policies and processes related to hiring and job transfers
  • Excellent organizational and analytical skills
  • Excellent customer service and communication skills
  • Excellent problem-solving skills, as well as attention to detail and accuracy
  • Proven ability to maintain sensitive and highly confidential information
  • Advanced Excel skills for reporting, metrics, and data validation
  • Proficiency with Workday
  • Ability to clearly define and articulate requirements, priorities, impacts, and solutions
  • Ability to foster collaborative working relationships at all levels internally and with external partner
  • Able to identify opportunities, take initiative and think through future implications
  • Ability to work in a dynamic environment, under pressure and with time-sensitive deadlines
