Working Hours: M-Th 10am - 6pm and Fri.10am - 1pm EST

Job Description:

The Bookkeeper will be responsible for managing and maintaining our financial records, ensuring accuracy and compliance with accounting principles. The role involves categorizing expenses in QuickBooks, managing payroll, conducting monthly reconciliations, and assisting with budget analysis. The ideal candidate will have experience in bookkeeping for small businesses, preferably within the interior design or creative industry, and be adept at working with multiple state sales tax requirements.

Key Responsibilities:

• Accurately categorize all business expenses in QuickBooks and associate them with specific projects.
• Run payroll and ensure compliance with all relevant payroll regulations.
• Assemble monthly invoices for clients, connecting hourly entries from Harvest to Quickbooks.
• Perform monthly bank and credit card reconciliations and audit financial records to report on profitability.
• Assist in preparing and analyzing budgets to support business goals.
• Link purchases from our tracking software program (Programa) to QuickBooks for accurate financial tracking. Become proficient in this software.
• Monitor purchase orders for each project, keeping a detailed eye on the financial status of all projects for up to date reporting. Save all receipts and link to projects in QB.
• Work with the team on all project reporting
• Keep abreast of sales tax regulations for multiple states and prepare and file sales tax returns.
• Prepare necessary financial files and documentation for tax filing and work with our CPA for accurate tax submissions.

Requirements

Qualifications:

• Proven experience as a bookkeeper, preferably in the interior design or creative industry.
• Proficiency in QuickBooks and other accounting software.
• Strong understanding of payroll processes and regulations.
• Experience with multi-state sales tax management is a plus.
• Excellent attention to detail and organizational skills.
• Ability to analyze financial data and generate reports, looking towards efficiencies and costs savings for the health of the business
• Strong understanding of software and troubleshooting technology issues
