The Business Operations Analyst will act as a Faculty Affairs Specialist supporting the College of Public Health’s Associate Dean for Faculty and Inclusive Excellence by managing administrative activities related to faculty recruitment, appointment, promotion, and development. These activities include:

15% Providing administrative support to process faculty appointments (including tenure track, clinical track, research track, lecturers, adjuncts, courtesy, joint, emeritus, distinguished professors and other faculty titles), promotion and tenure, in partnership with HR and OAA. These tasks include providing information on process and policies for the appointment, promotion and tenure (APT) committee and faculty under review; establishing access for shared files; reviewing materials for completeness; checking dossiers for adherence to format; scheduling meetings, creating agendas, and taking minutes for APT committee meetings when indicated; scheduling eligible faculty meetings for discussion and voting; maintaining promotion and tenure files; requesting external evaluations; drafting confidential letters and summaries; and assisting the APT committee and the Associate Dean for Faculty and Inclusive Excellence with the annual review process for probationary faculty.

15% Assisting with adherence to the university’s faculty hiring framework, SHIFT, including drafting SHIFT-approved position descriptions and letters of offer, confirming adherence of search committee to required training(s); contacting candidates to determine interview dates; assisting with candidate travel arrangements; creating and managing shared folders for use by search committees; creating visit itineraries for faculty candidates; publicizing candidate lectures and assisting with AV needs; collecting and collating evaluation information for search committee and eligible faculty review; and assisting candidates with reimbursement procedures; and partnering to provide information in response to OAA SHIFT audits.

15% Organizing revisions to governance documents related to faculty affairs, including the APT, Pattern of Administration (POA) and Faculty Workload guidelines; maintaining these in the college’s Teams repository; and disseminating updated policies and regulations to faculty and administrative personnel.

10% Assisting with onboarding and orientation of new faculty; assisting with computer purchase and office needs; obtaining telephone, mailbox, business cards and building access; and assisting with new faculty orientation in the college.

10% Serving as a local expert in both the Faculty Activity Reporting (FAR) and the Review, Promotion and Tenure (RPT) functions of Interfolio.

10% Managing other faculty affairs processes and initiatives as they arise, such as award nominations (both OSU awards and external awards).

10% Supporting events specifically related to faculty affairs, such as the annual promoted faculty reception, occasional seminars or workshops related to faculty development, and organization of the monthly professional development series for Assistant Professors.

5% Assisting with faculty leave processes including Faculty Professional Leave (FPL) and Special Assignments (SAs).

5% Supporting operationalization of the college’s mentoring plan.

5% Completing projects and special assignments as assigned**.**

Additional Information:

Required Qualifications

  • Bachelor’s Degree or equivalent experience.
  • 4 years of relevant experience required.

Desired Qualifications

  • 4-8 years of relevant experience preferred.

Pay Range

$69,400 - $91,250 Annually

*The offer for this position will fall within this range based on internal equity, unit's available budget, and the candidate's qualifications.
