About the role:

We are seeking an experienced Office Admin responsible for supporting our office's day-time operations in Bangalore, India. You will ensure that the office runs smoothly and is well-maintained during the day. Reporting to the Director of People, you will be part of the lean and mighty Global People Team.

This role is required to be on-site in our Bangalore office M-F with the hours of 10 am IST - 7 pm IST.

What You'll Do:

  • Manage office operations:
    • Responsible for managing office operations, vendors, and procurement duties. This role includes overseeing supplies, maintaining office equipment, maintenance, and supervising cleaning staff.
  • Coordinate with staff:
    • Work closely with staff members, communicating with them to ensure their needs are met and they have the necessary resources to perform their duties.
    • Assist with the on-site interviews of candidates for open positions.
  • Complex calendaring and event planning:
    • Responsible for scheduling appointments and managing the office calendar, ensuring no conflicts and that all appointments are appropriately scheduled.
    • Scheduling occasional gatherings/events.
  • Handle administrative tasks:
    • Handles various administrative tasks, such as filing, data entry, preparing reports, maintaining records, mailing, etc.
  • Managing special projects as needed.

What You'll Bring:

  • 2+ years of proven experience managing the logistics of a corporate office, including vendor relationships and procurement duties.
  • 2+ years of proven experience with office management systems and procedures, back-office systems, and practices.
  • Experience using standard office equipment (e.g. printer, scanner, mailing, etc.)
  • Excellent communication, customer service, and interpersonal skills.
  • Extremely organized with high standards and the ability to prioritize and multi-task.
