Roles and Responsibilities

  • Travel โ€“ organise all Global CEOโ€™s travel including flights, transfers and taxis, visas, and full itineraries.
  • Extensive diary management โ€“ long term and day to day proactive management of the CEOโ€™s calendar.
  • Events โ€“ coordinate both client and internal meetings, as well as larger internal team events and client events (From lunches and team building to conferences and galas)
  • Preparation of documents to support Global CEO
  • Correspondence โ€“ monitor Global CEOโ€™s correspondence via email, phone, and Teams to always ensure swift and appropriate responses.
  • Communications โ€“ draft regular communications to all staff on behalf of the CEO, including emails, presentations, and script/ presentation notes.
  • Communications โ€“ write and distribute regular internal communications newsletter to all staff, with support from other contributors around the network.
  • General admin โ€“ supporting CEO and other departments in relation to timesheets, expenses, appraisals, stationery, holidays and any other general enquiries from around the group and internal employees.
  • Attend key meetings as requested (including GLT) โ€“ prepare agendas, take notes and circulate minute
  • Liaise with and support other support staff around the business when required.
  • Deal with media or new business enquiries with support from dedicated teams.
  • Ad hoc project support.

Skills and Competencies

  • Bilingual โ€“ Spanish and English - Excellent written English and grammatical accuracy
  • Excellent IT skills (Outlook/ Word/ PowerPoint/ Excel)
  • +4 yearsโ€™ work experience in a similar role supporting C-suite executives preferably within a global organization. Experience working in a multicultural organization and diverse team environment is a plus.
  • Dealing with clients, senior stakeholders across Interbrand and Omnicom a friendly and professional demeanour is required at all times
  • Reliable and Personable
  • Efficient and highly organised
  • Ability to prioritise/ manage work load
  • Abiity to work autonomously and use initiative in solving problems
  • Confident in talking to senior clients and colleagues
  • Ability to work with discretion โ€“ due to nature of the role confidentiality is paramount
  • Team player with a flexible approach

*This position is initially temporary for 6 months with possibilities of extension.
