Job Opportunity at 1Nebula:

The purpose of this position is to play a pivotal role in ensuring the smooth functioning of our human resources operations. Your primary responsibility is to manage payroll and benefits administration, alongside overseeing various HR operational administrative tasks.

What You will do within this role (Your key responsibilities):

Payroll and Benefits Administration

  • Manage payroll data inputs to send to external provider
  • Address payroll-related inquiries from employees

Answering employee questions on benefits

  • Administer employee benefits programs, such as medical aid, provident fund, and gap cover and other fringe benefits
  • Facilitate the enrolment and termination of employees in benefits programs
  • Collaborate with benefits providers to ensure timely and accurate administration of benefits plans
  • Communicate benefits information to employees
  • Coordinate the annual renewal of benefits plans and negotiate terms with providers as needed

HR Operations and Administration

  • Organize and maintain employee personnel record on SharePoint and BambooHR
  • Prepare all HR Documents
  • Maintain and update HR Guidelines

Onboarding

  • Kick starting the onboarding process
  • Ensure all parties are aware of the new hire start date and ensure all onboarding processes are followed
  • Ensure managers prepare all onboarding templates and probation review templates for a successful onboarding
  • Ensure all new joiners probation reviews are recorded and filed

Offboarding

  • You will support the offboarding process for all N48Xers, ensuring that they receive all necessary information and documentation, including company acceptance of resignations letters, exit interviews and kicking off offboarding tasks on the relevant HR software

Compliance and Reporting

  • Maintain compliance with South African labour laws, including the Basic Conditions of Employment Act and the Income Tax Act
  • Conduct regular audits of payroll data to ensure accuracy and compliance with internal policies and legal requirements
  • Assist with administration around year-end payroll reconciliations and tax reporting, including the distribution of IRP5 certificates
  • All employee contracts are signed and updated
  • All foreign employees have updated employment records in place
  • Upload and maintain company policies on internal systems

Process Improvement and Documentation

  • Identify opportunities to streamline payroll and benefits processes and implement best practices to improve efficiency and accuracy

  • Develop and maintain accurate documentation of payroll and benefits procedures, policies, and workflows

  • Provide training and support to HR staff and managers on payroll and benefits-related matters as needed

More about You (Our requirements for the role):

  • Bachelor's degree or equivalent qualification in accounting, finance, human resources, or a related field would be advantageous.
  • 3+ years of experience in payroll processing and benefits administration
  • Thorough understanding of South African payroll regulations, tax laws, and statutory deductions.
  • Proficiency in payroll software and HRIS systems; experience with Pay Space, BambooHR or similar platforms.
  • Excellent numerical skills and attention to detail, with the ability to work accurately under pressure.
  • Strong communication and interpersonal skills
  • Proactive approach to addressing problems and implementing process improvements to enhance efficiency and accuracy
  • Certification in payroll administration or relevant professional accreditation (e.g., SABPP Payroll Administration Certification) preferred
