- Maintain accurate and up-to-date employee records, both in physical and digital formats, including HRIS
- Ensure compliance with data protection and privacy regulations.
- Prepare and process HR documents such as employment contracts, contracts amendments, offer letters, employment certificates, ITM notifications, termination documentation. Archive documents.
- Coordinate the end-to-end onboarding process including global mobility
- Support new employee onboarding by preparing orientation materials and assisting in the orientation process.
- Facilitate the offboarding process, including exit interviews and the return of company assets.
- Assist employees with benefits enrollment, inquiries, and claims.
- Collaborate with external providers to ensure smooth administration of employee benefits programs.
- Maintain accurate records of employee attendance, leave, and time-off requests.
- Handle LOA process
- Generate and distribute timesheets, track timesheets preparing ground for payroll execution.
- Support payroll instructions and execution by maintaining accurate employee records
- Serve as a point of contact for employee inquiries and provide basic HR-related information.
- Assist in the preparation and distribution of HR-related communications and announcements.
- Assist in the preparation of HR-related reports, compliance documentation, and audits.
- Co-ordinate HR-related invoicing end-to-end
- Prepare overtime notifications.
- Handle external background check requests.
Requirements
- Proven experience in HR administration or a related role, preferably in Luxembourg or any other European countries, ideally in an international company.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Good communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information.
- Team-oriented with a strong customer service mindset.
- Knowledge of MS Office (Outlook, Word, Excel, PowerPoint).
- Fluent in English oral and written (any other European languages is an advantage).
- HR certification (e.g., PHR, SHRM-CP).
- Experience with HRIS (Human Resources Information System) software.
- Knowledge of social security and labor law and their application in Luxembourg or/and Benelux
- Fluent French is preferred.
