  • Maintain accurate and up-to-date employee records, both in physical and digital formats, including HRIS
  • Ensure compliance with data protection and privacy regulations.
  • Prepare and process HR documents such as employment contracts, contracts amendments, offer letters, employment certificates, ITM notifications, termination documentation. Archive documents.
  • Coordinate the end-to-end onboarding process including global mobility
  • Support new employee onboarding by preparing orientation materials and assisting in the orientation process.
  • Facilitate the offboarding process, including exit interviews and the return of company assets.
  • Assist employees with benefits enrollment, inquiries, and claims.
  • Collaborate with external providers to ensure smooth administration of employee benefits programs.
  • Maintain accurate records of employee attendance, leave, and time-off requests.
  • Handle LOA process
  • Generate and distribute timesheets, track timesheets preparing ground for payroll execution.
  • Support payroll instructions and execution by maintaining accurate employee records
  • Serve as a point of contact for employee inquiries and provide basic HR-related information.
  • Assist in the preparation and distribution of HR-related communications and announcements.
  • Assist in the preparation of HR-related reports, compliance documentation, and audits.
  • Co-ordinate HR-related invoicing end-to-end
  • Prepare overtime notifications.
  • Handle external background check requests.

Requirements

  • Proven experience in HR administration or a related role, preferably in Luxembourg or any other European countries, ideally in an international company.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Good communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Team-oriented with a strong customer service mindset.
  • Knowledge of MS Office (Outlook, Word, Excel, PowerPoint).
  • Fluent in English oral and written (any other European languages is an advantage).
  • HR certification (e.g., PHR, SHRM-CP).
  • Experience with HRIS (Human Resources Information System) software.
  • Knowledge of social security and labor law and their application in Luxembourg or/and Benelux
  • Fluent French is preferred.
