SERDC is seeking a dedicated and organized Administrative Assistant to join our team. Reporting to the Director of Housing & Advisory Services, this role involves providing comprehensive administrative support to the Advisory Services team and assisting with coordinating the MB Indigenous Housing Capacity Enhancement Mobilization Initiative (MIHCEMI) and supporting the Environmental Public Health Officer (EPHO) program.

Key Responsibilities:

Administrative Support

  • Answer telephones, greet visitors, and handle business and administrative details.
  • Arrange and organize meetings, prepare meeting agendas, attend meetings, and record and transcribe minutes.
  • Open, sort, and distribute correspondence (including faxes and electronic mail) and respond to routine inquiries.
  • Type and edit correspondence, prepare cheque requisitions and invoices, and arrange travel accommodations.
  • Maintain attendance records for Advisory Services staff
  • Operate office equipment such as fax machines, photocopiers, voice mail messaging systems, and computer scanning equipment.
  • Order supplies in alignment with the budget and most cost-efficient measures for all Advisory Services Staff.

Project Coordination & Program Support for MIHCEMI & EPHOs

  • Type and edit correspondence related to projects.
  • Prepare meeting agendas, attend project meetings, and record and transcribe minutes.
  • Prepare cheque requisitions and invoices for project expenses.
  • Arrange charters and travel accommodations for project needs.
  • Assist with the organization and facilitation of workshops.
  • Track and manage project expenditures.
  • Gather data from community-based water quality monitors and input into database.

Qualifications / Skills

  • Strong organizational skills with demonstrated experience in providing project coordination support.
  • Strong interpersonal and communication skills; ability to deal effectively with the public, staff, and First Nations communities.
  • Ability to prioritize and organize workload efficiently.
  • Knowledge of SERDC and its member First Nations.
  • Understanding of FNIHB funded programs and related processes, practices, and methods.
  • Proficiency in the Microsoft suite of products including Word, Powerpoint, Excel, Outlook
  • Proficiency in performing online research

Work Environment

  • Office environment with continual interruptions and multiple demands.
  • Generally not physically demanding but may involve some small lifting of office supplies and presentation materials.
  • May involve repetitive tasks with few breaks and extended periods focusing on a computer screen.
  • May require some overtime hours to meet deadlines.
