About the opportunity

The Faculty of Engineering is welcoming applications for a Senior Administration Officer to join the team to provide general administration support to the School of Biomedical Engineering.

The role of a Senior Admin Officer encompasses HDR management, external engagement, casual academic recruitment, HR matters, and finance. This diverse position involves tasks ranging from operations to student recruitment and external engagement. By supporting various administrative functions and fostering strong external relationships, the role significantly impacts the business and the team's success.

Working closely with the School Manager, the successful candidate is expected to utilise their experience and technical knowledge to provide guidance on work activity, policy and procedures to colleagues where required.

Your key responsibilities will be to:

  • manage the delivery of daily administration activities and services, providing guidance to colleagues on the ongoing activities of the office, ensuring high quality, efficient administrative support is provided in a pro-active manner to staff, clients and visitors
  • provide administrative support on staffing matters, in partnership with HR, including the coordination of recruitment, general staff and casual appointments, the renewal of all fixed term contracts, and preparation of positions descriptions for professional staff roles
  • produce financial reports for managers, including month-end reports, non-salary expenditure reports, casual staff reports, team budgets and forecasting reports and workforce planning
  • coordinate the planning and execution of events, conferences, and workshops
  • oversee space allocation for staff and HDR students
  • ensure compliance with Workplace Health and Safety (WHS) regulations within the school
  • manage the onboarding process, budget, and funding for HDR students within the school.

About you

  • administrative experience in a tertiary organisation, working knowledge of academic institutions, structures, and the higher education sector
  • financial management experience and literacy, experience in managing budgets and controlling income and expenditure
  • the ability to work both independently and as part of a team, taking initiative and exercising sound judgement in resolving matters that may arise as part of normal daily work
  • excellent verbal and written communication skills, with experience in handling a wide range of enquiries and providing excellent customer service
  • strong problem-solving skills and the ability to use initiative and exercise sound judgement and ability to prioritise workload during busy periods
  • working knowledge of software programs such as Hyperion Reporting System, Records Management, and Content Management Systems.
