This position provides office administration & SHE (Safety, Health & Environment) support for and is involved in the daily management of the Livermore, CA office. Also responsible for various administrative projects as assigned.
Primary Responsibilities/Essential Functions
- Welcomes visitors, determines the reasoning for their visit and notifies the correct office personnel.
- Maintains visitor log.
- Receives and distributes mail and deliveries.
- Create outgoing shipments with FedEx/ UPS and monitor tracking information and invoicing.
- Coordination of on-site and off-site office events/ celebrations, reserving and preparing a space, ordering meals.
- First point of contact for office vendors.
- Coordinate with office vendors as needed.
- Supervises the maintenance of office equipment (water, coffee, snacks, air purifiers, dishwasher, and printer)
- Manages office supply and kitchenette inventory and organization of all supply rooms.
- Order office and kitchenette supplies as needed, while staying within budget.
- Provides support for local Executive Officers with various tasks as needed.
