Tucson Alliance for Autism: Part-Time Administrative Assistant

Location: Remote with occasional on-site duties in Tucson, AZ

Pay Scale: $20-$25 per hour, based on experience

Hours: Part-Time, 10-30 hours per week, flexible schedule.

About Us: Joyful Jobs is recruiting on behalf of Tucson Alliance for Autism, a dedicated 501c3 organization focused on supporting individuals with autism and their families. Our services include evaluations, group sessions, and providing essential resources to our community. As we grow, we are seeking a highly organized and proactive Administrative Assistant to support our daily operations and contribute to our mission.

Role Overview: The Administrative Assistant will play a vital role in ensuring the smooth operation of our organization. This position requires a detail-oriented and tech-savvy individual who can handle a variety of administrative tasks, from managing emails and sending out resources to assisting with invoicing and record-keeping. The role will begin as part-time, with the possibility of increasing hours as our needs evolve.

Key Responsibilities:

  • Email & Phone Management: Respond to emails, answer phone calls, and provide accurate information to families and professionals seeking our services.
  • Resource Distribution: Send out information packets to callers, email inquiries, and website submissions.
  • Group Coordination: Manage registration, send confirmation emails, and handle invoicing for our group sessions, particularly during peak times every eight weeks.
  • File Management: Handle record requests, including pulling files, making copies, and sending documents via fax or email. Assist with the organization and digital migration of our files to the cloud.
  • Community Engagement: Represent the organization at community fairs and events once a month, usually on weekends.
  • Social Media & Communication: Support basic social media activities, including announcing new groups and responding to messages.
  • Project Work: Participate in special projects, such as scanning and organizing files, as needed.
  • Research Funding Opportunities: Identify potential funding sources to help sustain and expand this role.
  • Support Board of Directors: Assist with projects for the board of directors, organize and prepare for board meetings, and help with notetaking, meeting minutes, and follow-ups.

Qualifications:

  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and familiarity with cloud storage systems.
  • Typing speed of at least 50 WPM.
  • Basic social media knowledge.
  • Detail-oriented, especially in managing invoicing and records.
  • Ability to work independently and manage time effectively.
  • A proactive attitude, with the ability to identify and take on additional tasks as needed.
  • Willingness to attend community events on behalf of the organization.

Preferred Skills:

  • Experience in administrative roles such as Executive Assistant or Program Manager.
  • Knowledge of HIPAA compliance and handling sensitive information.
  • Experience working with autism or in a related field is highly preferred.
  • Nonprofit experience, whether as a staff member, volunteer, or board member is beneficial.
