The Role:

As the Executive Assistant for the Leadership Team at Easol, you will play a crucial role in ensuring the smooth operation of the Leadership team and, by extension, the entire organisation. You will provide high-level administrative support to the CEO & Leadership team by handling a wide range of executive tasks, managing their calendars, prioritising needs, and ensuring slick day-to-day operations. You will support Easol's growth by maximising the Leadership Team’s productivity and effectiveness, ensuring they can focus on high-priority tasks and strategic initiatives. The ideal candidate is highly organised, proactive, and capable of managing a diverse set of responsibilities in a fast-paced environment. This role requires a high level of professionalism, confidentiality, and the ability to anticipate the Team’s needs.

Key Responsibilities:

  • Executive Support:
  • Provide comprehensive support to the Leadership team based in London, ensuring efficient diary management, travel arrangements, and communication.
  • Assist with the preparation of reports, presentations, and other documentation as needed.
  • Personal Assistance:
  • Manage any personal tasks and errands for the CEO and CBO that need attention within the UK, maintaining discretion and confidentiality.
  • Handle personal correspondence, appointments, and travel arrangements as required.
  • Office Management:
  • Oversee the smooth operation of the London office, including maintaining office supplies, managing vendor relationships, and ensuring the office environment is professional and welcoming.
  • Act as the point of contact for any office-related queries and support requests.
  • Manage office budget.
  • Project Management:
  • Assist in the planning and execution of any special projects
  • Drafting pitches / sourcing info for relevant sections
  • Weekly Team meeting pitch
  • Track progress on various projects, ensuring deadlines are met.
  • Coordinate cross-functional teams to ensure project alignment with the CEO and Leadership Team’s vision.
  • Event Management:
  • Working with the Social Pod, plan and execute company events, including but not limited to the annual Summer and Christmas parties in London.
  • Organise and coordinate UK Leadership offsite meetings, ensuring all logistics are handled, including venue selection, catering, and travel arrangements.
  • Manage budgets for events and offsites, ensuring cost-effectiveness while delivering high-quality experiences.
  • Additional Responsibilities:
  • Support ad-hoc projects and tasks as required by the Leadership team.
  • Ensure a seamless handover of duties at the end of the maternity cover period, providing comprehensive notes and guidance to the returning EA.

Qualifications & Requirements:

  • Proven track record of success in supporting C-level executives, preferably in a SaaS environment.
  • Deep understanding in managing complex schedules, projects, and tasks with minimal supervision.
  • Strategic thinking, analytical, and problem-solving skills.
  • Extremely organised with excellent communication and time management skills with an ability to prioritse and multitask effectively.
  • High level of proficiency with G-Suite and other relevant software.
  • Discretion and confidentiality in handling sensitive matters.
  • Ability to build strong relationships and work collaboratively with all levels of staff and external partners.
  • Experience working in a startup or high-growth company is preferred.
