Position Summary

Under the direction of the Executive Assistant, the Administrative Assistant plays a crucial role in ensuring the smooth operation of the Health and Social Development Department. This position requires a detail-oriented individual who can manage routine administrative tasks, maintain inventory, support health-related clinics, and provide excellent customer service to clients. The role is integral in upholding the values of the
community by ensuring a welcoming and efficient environment for all.

What you’ll do

  • Provide general administrative and clerical support for routine office tasks and assist in resolving administrative problems to ensure smooth operations.
  • Maintain the Health “G” drive, ensuring that documentation, forms and brochures are up to date for the Department.
  • Maintain professional and accurate client service records.
  • Provide back-up support to other staff members, including Community Health Representatives, during health-related clinics. Tasks may include signing-in clients, handling paperwork, and photocopying.
  • Respond to client queries and answer calls from customers regarding their inquiries, providing excellent customer service at all times.
  • Assist clients in identifying available resources and alternative means of support.
  • Assist in completing forms promptly and professionally.
  • Order and manage supplies for the Health Wing, including paper and toner, in a timely manner.
  • Shop for supplies as needed or directed, including shopping, preparing, and maintaining a healthy snack inventory, such as fruits and vegetables. Cleaning and restocking the fridge weekly or as needed.

  • Additional responsibilities as needed to support the community and uphold our shared values.

  • Other duties or responsibilities as assigned by your Manager, Director, Chief Administrative Officer, or Chief & Council.

What you bring

Qualifications

  • High School Diploma or GED. Other forms of post-secondary education and training, including teachings from Elders and Knowledge Keepers, will be considered. Certificate in Business Administration or related field an asset.

  • 3+ years of experience focusing on administrative support or in an office setting in a First Nations community.

Cultural Competency:

  • Understanding of Indigenous cultures, traditions, and contemporary issues.

  • Experience working within Indigenous communities and applying culturally safe practices.

  • Understanding of intergenerational trauma and its impacts on Indigenous peoples and communities

Preferred

  • Indigenous candidates are strongly encouraged to apply.

  • Lived experience as a member of a First Nations community.

  • Knowledge and understanding of Seabird Island’s culture, traditions, teachings, community dynamics.

  • Ability to respond quickly and professionally to community or colleague needs and inquiries. Excellent customer service skills and ability to build relationships with clients.

  • Excellent writing, editing, and verbal communication skills.

  • Ability to balance competing priorities and to work under pressure.

  • Highly flexible, detail oriented, organized, with strong time management skills.

  • High professional and ethical standards.

Working / Special Conditions

  • Initial and ongoing employment is subject to submission of a clear Criminal Record Review Program Check to ensure the safety and trust of the communities we serve. This check will be conducted every five years.

  • Initial and ongoing commitment to the values and guidelines of Sq'éwqel (Seabird Island Band), including our policies, procedures, standards of practice, and laws, is essential. This commitment supports our collective work, the community, and the responsibilities of this role.

  • Must possess a valid class 5 driver's license and have access to safe and reliable transportation, insured for community-based use, to effectively engage and support projects, work, and initiatives.
