Role Overview:

As an Operations Associate – Luxury Travel Admin Specialist, you’ll play a crucial role in managing the logistics and administrative support for luxury travel bookings. You will coordinate directly with clients and vendors to ensure smooth operations, while providing high-quality service and ensuring every detail of the client’s itinerary is handled with precision.

Your Impact:

Your efforts will directly contribute to providing exceptional travel experiences for high-net-worth clients, ensuring that every detail is meticulously planned and executed. By supporting the operations team, you will help maintain its reputation for excellence in luxury travel services.

Key Responsibilities:

  1. Administrative Support:
  • Assist in creating and managing travel bookings and client itineraries.
  • Ensure all travel logistics are meticulously handled, including rate pulling and VIP reconfirmations with suppliers.

Customer Service:

  • Provide prompt and exceptional customer service, responding to client requests and resolving issues efficiently.

Vendor Coordination:

  • Coordinate with travel partners, vendors, and service providers to ensure smooth travel operations.

Data Management:

  • Maintain client records, travel schedules, and system updates.

Requirements

Must-Have:

  • Strong knowledge of travel logistics and administrative processes.
  • High proficiency with CRM and travel management platforms (e.g., TravelJoy, AXUS).
  • Exceptional attention to detail and organizational skills.
  • Excellent communication skills, both written and verbal.

Nice-to-Have:

  • Experience in luxury travel or high-net-worth client management.
  • Tech-savvy and quick to adapt to new systems.

Additionally, we will ask you to submit a short video recording, following our provided guidelines, which will be shared with the client as part of your endorsement.

4. Skills Assessment

After the interview, you will complete a skills assessment, which could involve practical tasks, technical tests, or situational exercises to show how you would handle scenarios related to the job.

5. Client Interview

If you pass the skills assessment, you’ll have a final interview with the hiring client. This is where you’ll discuss the role’s responsibilities, expectations, and how you would fit into their team.

6. Job Offer

If selected, you will receive a formal job offer that includes all the details, such as salary, benefits, and your start date.

7. Onboarding

Once you accept the offer, you’ll begin our onboarding process, which includes training and orientation to get you fully prepared for your new role.
