We have an exciting opportunity for a Team Administrator to join Norgine. The person holding this position will report to the VP of Medical Affairs and be a member of the Global Medical Affairs team.

The core responsibility of the Team Administrator position is to deliver all administrative tasks for the VP Medical Affairs and the broader Development Exec Committee team. You will provide assistance to the VP Medical Affairs and the broader Medical Affairs team, taking responsibility for administration and allocated tasks and will provide a high level of customer service and be a key interface between the function and its internal / external customers. You will also be responsible for specific activities for example; (but not limited to) diary management, meeting organisation, production of meeting agendas and minutes, filing, E1, receipting PO's.

KEY RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

· Provide efficient assistance to Medical Affairs Leadership Team including support with meeting logistics / communication, expense tracking vs budgets, PO generation, agenda and minutes management, catering requirements

· Diary management for VP Medical Affairs

· Manage Purchase order and Receipts for the Medical Affairs Leadership Team and Global Medical Functions as allocated

· Assist with functional meetings and update minutes and actions

· Printing and administration of documentation that requires VP signature
Manage transport and logistics where required for Medical Affairs staff and team meetings

· Ensure a positive image of the Medical Affairs function through all communications and interactions, taking leadership for the updating and maintenance of the internal functional SharePoint sites on GENIE, ensuring that information is kept up to date

· Providing cover for others when necessary, including with tasks such as archiving, library services etc

Requirements

· Educated to at least GCSE Level or similar

· Proficient in Microsoft Office, including competency in Outlook, Word, PowerPoint and Excel

· Experience of working with E1 type systems (POs, invoices etc) SharePoint and Veeva systems an advantage.

· Experience within the Pharmaceutical industry is highly desirable

· Knowledge and skills should be maintained by appropriate update and training.

· Ability to work under pressure with multiple priorities, occasionally to tight deadlines
Makes day to day decisions individually or collaboratively within immediate work area, ensuring peers understand decisions taken

· Proactive with a focused and structured approach to work - although able to change direction if required

· Genuine team player with a supportive and helpful approach to all internal and external personnel
