The Opportunity:

An exciting opportunity has arisen for a dynamic, motivated and organised individual to join the Defence & Security Operations team as a Senior Operations Executive.

The role will involve working across the full portfolio consisting of the largest UK Defence & Security exhibition with a highly significant global reach and smaller confex-style events based in Europe. The next 12 months will see us continue to expand and innovate our events both in new geographies and on new platforms.

Key Responsibilities:

  • Working as part of a team delivering the operations for the confex events in the UK and Europe, supporting on various key projects and large-scale exhibitions with guidance and support from the Senior Operations Manager.
  • Liaising with internal departments to confirm all onsite operational deliverables for each event including all exhibitor, sponsor and partner packages.
  • Managing contractors and suppliers preshow, on-site and post event. Placing orders for items including signage, AV, venue, catering, cleaning, temporary staff, stand build, furniture and sponsorship deliverables within a pre-set budget with guidance from a manager.
  • Working with the event director and manager to design and manage the floorplans, in conjunction with the external floor plan department. Support the Operations Assistant with floor plan checks and ensure data bases are kept up to date.
  • Active involvement in health and safety management, creation of risk assessments, Construction Phase Plan and a Health and Safety file for each event. Ensure the onsite build and breakdown complies with all health and safety and venue regulations.
  • Actively involved on the show floor during all periods of tenancy, either assisting the Senior Operations Manager or managing activities in a smaller event ensuring the show is built to the correct plan and specifications, in close liaison with key contractors.
  • Producing and communicating detailed technical information for exhibitors and sponsors including the manual/ezone. Ensure all guidance is up to date with relevant amendments such as changes in legislation, changes to venue rules or show requirements.

Requirements

Knowledge, Skills & Behaviours:

  • Experience of working on large-scale events within the exhibitions industry in the UK and/or Europe is essential for this role.
  • Experience managing event operations budget.
  • Understanding of operational, venue and local authority procedures.
  • Health and Safety awareness and knowledge with an IOSH certificate preferable.
  • Customer mindset at all times ensuring we place our customers at the heart of what we do.
  • Effective time management experience within a fast-paced environment, meeting deadlines and multi-tasking whilst remaining calm under pressure.
  • Organised and methodical approach, ensuring the project management tools are up to date at all times.
  • Strong social and communication skills with the ability to work within a team and independently.
  • Keen to embrace and learn new skills, including use of new technology and IT systems.
  • Flexibility to work onsite during events, requiring international travel, and working over occasional weekends and evenings.
