The Opportunity

Clarion Gaming are looking for an enthusiastic and pro-active Operations Executive to join our team in delivering a portfolio of world class exhibitions which serves as the number one global platform for the gaming world to do business.

The successful candidate will primarily support the Senior Operations Manager in successfully delivering the portfolio’s largest exhibition – ICE. ICE doesn’t look or feel like your typical exhibition – it is a spectacle that everyone wishes they were a part of. We welcomed over 38,000 people across 3 days to our home which spanned over 110,000m2. We smashed all records, and our customer feedback was exemplary. Want to see for yourself? The successful candidate will join the organisation at an incredibly exciting time as we relocate ICE from London (its home of 84 years) to Barcelona. Olé! We will be growing the footprint of ICE by a further 20% and we will be tearing up the playbook to further evolve our B2B event into a festival across the city of Barcelona. This will be no easy feat and we are looking for a candidate who is highly driven and highly skilled to embark on this journey with us. All eyes are on this project, and so this is the perfect role for someone looking to raise their profile and make a name for themselves within the industry.

While the successful candidate will primarily support the delivery of ICE, they will be exposed to and work alongside the wider operations team on all events within the Clarion Gaming portfolio.

Key Responsibilities:

  • Collaborating with the Sales department to agree our stand and sponsorship delivery.
  • Owning the delivery of all exhibitor packages and sponsorship from start to finish.
  • Responding quickly and calmly to requests from internal or external stakeholders, ensuring our fulfilment process is frictionless for our customers.
  • Coordinating and submitting orders for services such as catering, furniture, signage, AV, IT, stand fitting, carpet, and electrics.
  • Coordinating our event staff network: creating schedules, booking staff, coordinating uniforms, and writing staff briefs.
  • Coordinating staff welfare arrangement such as catering, uniforms, offices and staff rooms.
  • Producing a comprehensive Exhibitor Manual containing correct and detailed technical information for exhibitors.
  • Arranging accommodation for staff, speakers and VIPs.
  • Ensuring all contractors are fulfilling their obligations and that the show is built correctly against all relevant plans and schedules.
  • Managing the shipment of all event kit, ensuring it has all arrived and is distributed timely.
  • Managing items within the budget as per managers expectations.
  • Supporting with the delivery of our organiser features.
  • Being present and responsive on the show floor during all periods of tenancy.
  • Participating in regular internal team meetings.
  • Assisting the Operations team with any other ad hoc tasks as required.
  • Contributing to the Operations team, meeting their strategic objectives for the events.

Requirements

Knowledge, Skills & Behaviours:

  • Experience working on international conferences and exhibitions, with a background in live events.
  • Experience in collaborating with internal stakeholders and external partners.
  • Experience in fulfilling sponsorship delivery.
  • Experience consulting with international speakers, VIPs, sponsors or exhibitors.
  • Experience collaborating with suppliers, hotels and venues.
  • Experience in working to a budget.
  • Experience in managing travel arrangements.
  • Computer literate: proficient, versed, and working knowledge of various programs and systems i.e. MS Office, Outlook and other web-based platforms like Salesforce, Pardot or Workday.
