As an HR Business Partner (Project/System Specialist) you will provide expert support on Workday, manage work pass applications, and actively participate in HR projects to identify process improvements. You'll oversee employee welfare, including leave system administration and preparing employment-related documents. Additionally, you'll support expatriates with pre-assignment preparation, ongoing assistance, repatriation, and administration of expatriate benefits.

Who you will report to:

The position reports to the HR Manager and cooperates closely with other local HR roles as well as members of the local management team.

What you will be doing:

HR Business Partner Responsibilities:

  • Implement and ensure compliance with global People Processes (recruitment, onboarding, development, performance management, and exit)
  • Execute HR processes and activities as outlined in the HR Service Catalogue
  • Provide advice and support to local management and employees on personnel-related topics
  • Perform all required administrative tasks related to employees (e.g., personnel files, Workday)
  • Ensure compliance with local employment laws and regulations
  • Keep the local personnel handbook up to date with local labor laws and regulations
  • Implement and ensure compliance with Occupational Health policies and OHSAS standards
  • Conduct regulatory/statutory reporting of incidents to authorities
  • Onboarding Process for new hires

Workday Super User:

  • Provide expert support and guidance on Workday functionality and resolve user inquiries
  • Support business reporting needs with insights and analysis on key HR metrics and trends
  • Collaborate with HR and stakeholders to identify system optimization opportunities and implement process improvements to enhance Workday functionality and usability

Work Pass:

  • Handle all work pass-related matters, including applications, renewals, cancellations, and document verification

HR Projects:

  • Actively participate in HR projects, working closely with stakeholders to identify process improvement opportunities and enhance project management capabilities within the HR team

Employee Administration:

  • Serve as the leave system administrator, ensuring data accuracy and supporting stakeholders as needed
  • Prepare employment-related contracts, letters, and invitation/visa letters
  • Handle the preparation of gifts and condolences for employees

Expats Management:

  • Guide expatriate employees and their families through pre-assignment preparation
  • Serve as the primary contact and support for expatriate employees during their assignments, addressing concerns and providing ongoing assistance
  • Facilitate the repatriation process to ensure smooth transitions back to home countries or next assignments
  • Administer expatriate benefits, including housing, car leasing, relocation, child education, pension, insurances and other specific benefits, ensuring compliance with company policies and practices

What you need to be successful in this role:

  • Bachelor degree, preferably from Human Resource Management / business administration or equivalent
  • 2-3 years relevant work experience within HR is preferred
  • Experience with Workday will be a pl
  • Strong understanding of HR best practices, employment laws, and regulations
  • Understanding of HR processes and tools, and knowledge of local labour law and regulations
