Your role will be integral in sales and trade forecasting, reporting, analysis, and demand planning, providing crucial support to both sales and operations teams. Your expertise in Excel and your ability to work seamlessly across different teams will be essential in enabling the sales team to boost top-line revenue and enhance forecast accuracy for optimal demand and supply planning.
You will be responsible for inputting, updating, monitoring, and analyzing data that empowers the sales team. Your role will involve engaging with internal team members on various initiatives, collaborating with external data-management partners, and reaching out to specific distributors as needed to ensure perfect order fulfillment.
This role demands a meticulous attention to detail, a passion for numbers, and a collaborative spirit. You must be able to work both independently and as part of multiple teams, quickly learn new systems and processes, take initiative to proactively enhance systems, and adapt to the dynamic needs of the business.

The Sales Operations Analyst assumes a critical link between finance, sales and operations, ensuring all departments are in lock-step with the latest views of forecasts, gaps and opportunities, always focusing on initiatives that increase topline revenue, improve reporting & forecast accuracy, and decrease selling and distribution costs.

Here's how you'll likely go about that:

Sales Forecasting & Reporting

  • Become the internal expert on our sales and trade forecasting tool, Modus, including maintaining and inputting all sales & trade forecasting data, while owning all system updates and outputs to create quarterly and annual forecasts.
  • Participate in weekly sales updates to identify revenue gaps and opportunities that need to be reflected in forecasts and addressed by sales teams.
  • Lead monthly forecast reviews with each sales lead to amend customer forecasts and identify sales gaps.
  • Build and distribute all sales reports, continually seeking system or output improvements that better enable the sales team.
  • Manage customer and consumption-data portals (ie, SPINS, Nielsen) to update sales reporting files, tools and platforms.
  • Post and analyze retailer and distributor consumption & depletion reports to identify voids, out-of-stocks and lost opportunities.
  • Calculate and manage broker commissions, ensuring internal and external stakeholders have all information to process payments on time.
  • Update pipeline reporting tools via the CRM platform.

Trade Analysis

  • Monthly comparisons of On-Premise distributor chargebacks against forecast, making dynamic system updates to improve customer-investment planning accuracy.
  • Enable the team to better utilize customer-investment budgets by monitoring and tracking distributor spend.
  • Become the key stakeholder with our deduction partner, participating in regular calls to monitor and verify chargebacks, and comparing chargebacks against forecasts.

Sales Enablement

  • Actively support sales operations with UNFI and KeHE to ensure 100% order fulfillment, including but not limited to: outreach to buyers to expedite POs; monitoring POs and fillrates; reviewing inventory reports for slow-movers/low inventory/OOS; new item set up; monitoring pickups; supporting new retailer launches with load-ins and inventory support.
  • Own, update and maintain external customer portals (ex: retailer specific or GDSN) with updated company information, item specs, images, etc.
  • Update internal sales decks with market data.
  • Secure COIs as requested by customers.
  • Assist the sales team with account management initiatives and goals, keep selling tools updated and organized.
  • Participate in lead generation as requested

Although the entire team is remote we are a very close knit bunch. We might be a small team but we truly believe in our product and know how to speak the language of coffee. We like to build lasting relationships within our team as well as with our customers.

This role is a member of the Operations team, and reports to the Production & Inventory Manager. They collaborate deeply with the sales and finance teams. The entire global organization has high visibility to the reporting and forecast outputs produced by this role.

For this specific role, you must have a love and knack for systems and numbers. You’re likely someone who thrives in an environment where there is a black-or-white answer and little ambiguity. If you sit down to do Sudoku or Crossword, you’re the type of person who won’t stand up until it’s done, because you know there’s a finite solution. If you see a discrepancy in reports, you want to dig in to find out the cause, and then you want to find the solution.

Key Skills:

  • Incredible attention to detail
  • Resourcefulness to learn new systems autonomously
  • Deep knowledge of excel: pivot tables and VLOOKUPS are your baseline
  • Experience navigating and building reports via SPINS and Nielsen (preferred)
  • Experience with UNFI and KeHE (preferred)
  • Self-motivation to complete the required work autonomously while proactively looking forward to optimize systems and processes
  • Strong commercial acumen, preferably in the coffee or consumer goods category
  • Comfort working with a PC (required for this role; Macs are not compatible with all utilized systems)
  • Ability to create ad hoc reporting and sales models
  • Experience with Modus, or similar forecasting software (preferred)
  • Desired but not essential: APICS certification

Work schedules are flexible, but in general hours of work will be 9.00am – 5:00pm. This position may need to be available for extended hours at the end of each month and the fiscal quarter.
