About the Role

As a Front Office Executive, you will be the first point of contact for our company, providing essential administrative support across the organization. Your responsibilities include welcoming guests, coordinating front-desk activities, distributing correspondence, and redirecting phone calls. To succeed in this role, you should have a pleasant personality and strong customer service skills.

Responsibilities

  • Greet and welcome visitors with a positive, professional demeanor.

  • Manage the front desk by answering calls, handling inquiries, and directing visitors to appropriate contacts.

  • Handle incoming and outgoing correspondence, including emails, mail, and courier services.

  • Assist with scheduling meetings, managing calendars, and coordinating appointments.

  • Maintain and update visitor logs, employee contact lists, and other necessary records while ensuring confidentiality and adherence to data protection protocols. Monitor office access by ensuring all visitors sign in, are issued visitor badges, and follow established security procedures at the reception desk.

  • Address visitor and employee inquiries promptly and efficiently.

  • Liaise with internal departments to ensure smooth communication and operations.

  • Coordinate with vendors and service providers for office supplies, maintenance, and other administrative needs.

  • Arrange travel and accommodations, and prepare vouchers.

  • Keep updated records of office expenses and costs.

Experience and Qualifications

  • Proven work experience as a Front Office Executive, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).Familiarity with office equipment such as printers, fax machines, and phone systems.
  • Graduate, part-time student, or currently pursuing a degree.
  • Additional certification in Office Management is a plus.
