We are a fast-growing property management company dedicated to providing top-notch service to our clients and tenants. We manage a diverse portfolio of residential properties, ensuring their upkeep and smooth operation. We are looking for a skilled and motivated Property Coordinator to join our team, focusing on assigning work orders and managing communication with vendors and tenants.

Responsibilities:

  • Assigning Work Orders:
    • Review and prioritize incoming work orders for maintenance and repairs.
    • Identify and select the appropriate vendors or contractors for each task based on the issue's nature, urgency, and location.
    • Create and dispatch work orders, providing detailed instructions and necessary access information.
    • Track the status of work orders to ensure timely and satisfactory completion.
  • Communication with Vendors:
    • Establish and maintain strong working relationships with vendors and contractors.
    • Coordinate schedules and confirm appointments with vendors for on-site work.
    • Communicate any special instructions or requirements to vendors.
    • Monitor vendor performance and quality of work, providing feedback as needed.
  • Communication with Tenants:
    • Serve as the primary point of contact for tenants regarding maintenance and repair issues.
    • Inform tenants of scheduled maintenance, expected timelines, and any disruptions.
    • Address tenant inquiries and concerns promptly and professionally.
    • Follow up with tenants after work completion to ensure satisfaction.
  • Record Keeping and Reporting:
    • Maintain accurate records of work orders, vendor interactions, and tenant communications.
    • Prepare reports on work order status, vendor performance, and tenant feedback.
    • Ensure compliance with company policies and procedures in all activities.

Requirements

Fluency in English (both written and spoken) is a must.

Previous experience in property management, customer service, or a related field is preferred.

Strong organizational skills and attention to detail.

Excellent communication and interpersonal skills.

Ability to multitask and manage time effectively in a fast-paced environment.

Proficiency in using property management software and other digital tools.

Ability to work independently and remotely.
