Senior Operations and Capacity Manager

Our client is a professional service firm with a nationwide reach, providing comprehensive advisory services to individuals and businesses in accounting, tax, payroll, and related areas. We are assisting them in their search for a Senior Operations and Capacity Manager.

The Operations and Capacity Manager is responsible for overseeing the efficient and effective management of the company’s daily operations while also ensuring that resources are optimally utilized to meet current and future business demands. This role requires a hands-on approach to managing both operational processes and capacity planning in a lean environment, where maximizing efficiency and minimizing waste are critical. The Operations and Capacity Manager plays a pivotal role in driving operational excellence, improving productivity, and supporting the organization’s growth objectives.

This is a part time contract role with about 15-20 hours a week.

Key Responsibilities:

Operational Management:

- Oversee the day-to-day operations of the company, ensuring that processes run smoothly and efficiently.
- Develop and implement strategies to optimize operational workflows and reduce costs.
- Lead and motivate a small team to achieve high levels of productivity and quality.
- Ensure compliance with all relevant regulations, company policies, and industry standards.

Capacity Planning:

- Analyze current capacity and forecast future needs based on business growth and market trends.
- Develop and maintain capacity plans to ensure that resources, including staff, equipment, and facilities, are sufficient to meet demand.
- Allocate resources effectively to balance supply and demand, avoiding bottlenecks and underutilization.

Process Improvement:

- Continuously evaluate and improve operational processes to enhance efficiency and reduce waste.
- Implement lean management principles to streamline workflows and eliminate non-value-added activities.
- Lead initiatives to improve the company’s operational performance and support scalability.

Performance Monitoring:

- Track and analyze key performance indicators (KPIs) related to both operations and capacity.
- Prepare and present regular reports on operational performance, capacity utilization, and forecasting accuracy.
- Identify areas for improvement and implement corrective actions as needed.

Risk Management:

- Identify potential operational and capacity-related risks and develop contingency plans to mitigate them.
- Ensure business continuity by proactively addressing any issues that could impact operations or resource availability.

Collaboration and Communication:

- Work closely with other departments, including finance, HR, and customer service, to align operational activities with overall business objectives.
- Communicate effectively with team members, senior management, and external stakeholders to ensure alignment and transparency.

Requirements

• Bachelor’s degree in Business Administration, Operations Management, Industrial Engineering, or a related field.
• Proven experience in operations management, capacity planning, or a similar role, preferably in a lean environment.
• Strong analytical and problem-solving skills, with the ability to make data-driven decisions.
• Proficiency in using operations and capacity management software and tools.
• Excellent organizational and time management skills.
• Strong leadership and team management abilities.
• Ability to work in a fast-paced, dynamic environment and manage multiple priorities.

Desired skills:

• Experience with lean management principles and continuous improvement methodologies.
• Familiarity with statistical analysis and data modeling for capacity planning.
• Certification in Operations Management, Capacity Management, or Lean Six Sigma.
