As the PX Americas Executive Assistant & Project Coordinator, you will oversee the day-to-day functions of the Senior Vice President of People Experience, Americas and the VP, Head of Business Partners, US. You will handle a wide range of administrative and executive support related tasks, as well as assisting with the development of presentations, support on team experiences, and coordination of key projects and project plans for a variety of initiatives.

What you'll do:

  • Provide administrative support including, calendar management, arranging Teams/Zoom calls, booking travel, coordinating meetings/events and submitting expenses reports in a timely and accurate manner.
  • Assist in the development of presentations, emails, surveys for internal and external audiences using the Microsoft Office Suite & Canva.
  • Draft, review and send communications on behalf of PX SVP Americas and VP PX Business Partners, US as needed.
  • Organize, prepare, coordinate and run meetings including running the agendas, gathering information/documents, logistics, follow up on action items and summarize meeting notes and core insights and takeaways.
  • Research and provide analysis and insights on PX initiatives and projects as needed.
  • Maintain, manage and coordinate updates on key PX projects and initiatives standing in for the SVP Americas as needed on status update meetings.
  • Organize and maintain the team’s distribution lists and PX shared drive
  • Develop, manage and maintain the Americas team communications channels weekly and monthly to share new hires, birthdays, key events and other cultural connection events and celebrations in partnership with the PX Brand and Culture Associate Director.
  • Develop and maintain strong relationships with other senior executive assistants across the global business.
  • Organize and maintain office area to represent and reflect a creative, energizing and calming environment.
  • Assist with the planning and execution of meetings/ events on behalf of department.
  • Coordinate logistics for programs as it relates to the People Experience Americas team.
  • Handle ad hoc projects
  • Must be available evenings and occasional weekends when travel or emergency needs arise.
  • This role is required in-office a minimum of 4 days a week.

Who you are:

  • Must have at least 4-6 years of executive assistant experience reporting to a senior-level executive.
  • Extremely organized and detail oriented while working in a fast-paced environment, sometimes under pressure. Ability to move between different tasks and prioritize effectively.
  • Able to handle confidential information with a high level of professionalism and discretion.
  • Expert level written and verbal communication skills.
  • Strong technology skills, highly proficient in Microsoft Office Suite, including ability to work with both PC and Mac programs.
  • Experience using Canva, Adobe Suite and project management tools a plus.
  • Must have the ability to think independently, be pro-active and take action without supervision, create and develop ideas that lead to positive change or improvements as well as the ability to solve a variety of problems.
  • Strong project coordination skills required.
  • Must demonstrate the qualities of being a team player.
  • Must be able to accept changes readily, both in job responsibilities as well as in the work environment.
  • Passionate and a keen interest of the People function essential.
  • Excellent interpersonal skills and the ability to interact effectively with staff at all levels.
  • Proactive, flexible and a good decision-making ability.
