We are looking for an Office Administrator to manage our front desk daily and maintain the smooth running of the office. You will perform a variety of administrative and clerical tasks, which include coordinating office activities and operations to secure efficiency and compliance with company policies. You will be the first point of contact internally and externally. Duties include offering administrative support across the organization, assisting with in-house projects, liaising with Building Management to keep stock of office supplies, and placing orders when necessary. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence or deliveries and assisting/resolving queries and issues. The ideal candidate will be competent in multi-tasking, prioritizing, and working with little supervision. They will be self-motivated and reliable.

Hours: 9am – 1pm with flexibility to work more

Key Responsibilities:

Greet and welcome guests/visitors direct to the appropriate person.

Manage courier bookings, deliveries, and correspondence (e-mail, letters, packages etc.)

Provide basic and accurate information to in-person and email enquiries.

Keep updated records of office expenses and costs, and reconcile credit card expenses for executives.

Manage Investor communications and relations.

Develop processes/procedures to aid operations and ensure efficiency and compliance to policies. Arrange domestic and international travel and accommodation as required for teams/support events.

Maintain office security by following safety procedures and controlling access via the reception desk (issuing visitor badges and office access cards)

Order office and kitchen supplies and keep an inventory of stock.

Catering for office or arranging team events.

Ensure the reception area, meeting rooms, and kitchen are tidy and presentable.

Monitor meeting calendars and assist with room bookings.

Assist teams with ad hoc projects and tasks.

Perform other clerical receptionist duties such as filing, photocopying, scanning, and archiving.

Qualifications:

Proven experience as an office administrator, office assistant or relevant role

Experience as a Receptionist, Front Office, Customer Service Representative, or similar role

High school completion: completed tertiary degree is ideal (college completion or business school)

Excellent organizational skills

Great written and interpersonal communication skills

Ability to be resourceful, problem solve, and proactive when issues arise.

Multitasking and time-management skills, know how to prioritize tasks.

Professional attitude and appearance; customer service attitude

Proficiency in Microsoft Office applications

$45,000 - $45,000 a year
